• Update Preferences: Email address, optional name, the specific communication lists selected, consent wording, and preference status.
• Landowner & Municipal Inquiries: Property/organization details, contact name, email, optional phone number, general location, acreage, and preliminary site characteristics.
• General Contact & Partner Inquiries: Name, email address, stakeholder role, topic of inquiry, and message content.

Public enquiry form summary

• Newsletter: first name, email, stakeholder type and consent, used only to send selected project communications.
• Vendor interest: business and contact details, product category, general operating needs and consent, used to assess future fit and respond to the enquiry.
• Founding or community partner interest: work contact details, organization, region, pathway and broad interest areas, used for an introductory alignment review.
• Sponsorship interest: work contact details, organization, region and broad sponsorship pathway, used to assess readiness for a non-binding conversation.

Information is collected for specific project validation and communication purposes, including:

• Assessing regional community demand and interest for proposed destination features.
• Evaluating potential vendor, producer, landowner, and strategic partner opportunities.
• Sending milestone project updates, survey findings, and consultation announcements to subscribers.
• Responding to direct questions and scheduling exploratory briefing meetings.

3. How Consent Is Obtained

Consent is obtained when you voluntarily submit a form on our website. For ongoing project communications, explicit opt-in consent checkboxes are provided. Submitting an inquiry form constitutes consent for us to contact you regarding that specific request.

4. How Consent Can Be Withdrawn

You may withdraw your consent at any time. You can unsubscribe from project updates by clicking the "unsubscribe" link included in any email update, or by using the privacy request form at the end of this notice.

5. Who May Process Information

Your information is limited to people and service providers who need it to operate and respond to the relevant enquiry. Public forms may be processed through Netlify Forms, while structured project records may be stored in Netlify Database and managed through restricted administration. We do not sell, rent, trade, or publicly publish individual contact information or submission details without explicit authorization.

6. How Long Information Is Retained

Information is retained only for as long as necessary to fulfill the consultation, validation, and planning objectives for which it was collected, or to comply with applicable legal, accounting, or reporting requirements. Inactive subscriber records are periodically reviewed and removed.

Owner review required: a final record-by-record retention schedule must be approved before payments or formal vendor agreements are introduced.

7. How Information Is Protected

We implement appropriate technical, administrative, and organizational safeguards to protect personal information against unauthorized access, loss, alteration, or disclosure. Measures include encrypted HTTPS transmission, restricted system access, and regular security reviews. While we maintain rigorous protection practices, no internet transmission or electronic storage method can be guaranteed as 100% secure.

8. Access, Correction, and Deletion Requests

You may request access to the personal information we hold about you, corrections to inaccurate records, or deletion of submission data from active systems where applicable. To make a request, use the privacy request form below. Requests are reviewed as promptly as practical and may require identity verification.

9. Website Measurement

This website uses a single, first-party measurement system built and hosted by CommonGround itself. There are no third-party analytics providers, no advertising or social media pixels, no session recording or heatmap tools, and no cross-site tracking.

The measurement system does not set cookies and does not create a visitor identifier, so it cannot follow you between visits or between sites. Each measured interaction is recorded only as an addition to a daily total. The following is the complete list of what a single measurement record can contain:

• Which of a fixed list of interactions occurred — for example a page view, a survey being started, a survey being completed, a registration or interest form being started or submitted, a primary button being clicked, or reaching roughly 25%, 50%, 75% or 90% of the way down a page.
• Which page it happened on, chosen from a fixed list of this site's pages.
• The date, to the day. No clock time is stored.

What is never sent to measurement: your name, email address, phone number, postal code, municipality, business or organization name, survey answers, wishlist or message text, any other field you type into a form, your IP address, and any cookie or device identifier. Form field values are never read by the measurement code. Because only daily totals are kept, a measurement record cannot be traced back to an individual, and there is no individual measurement record to access, correct or delete.

These aggregate totals are used for one purpose: to understand how many people are engaging with the proposed concepts, so that community interest can be reported honestly. Netlify, which hosts this site, also keeps standard server access logs as part of providing the hosting service.

10. Submitting a Privacy Request or Concern

Use the form below to request access to, correction of, or deletion of your information, to unsubscribe from project updates, or to raise a question or complaint about this notice or our data handling. This form is the monitored route for privacy matters, so it will reach us faster than any other channel.
